A smaller room is a harder room.

There’s a myth in the wedding industry that a smaller guest count means you need less band. It’s backwards.

At 300 guests, there’s always someone dancing. Momentum builds on its own — you only need enough people on the floor to make the next person feel comfortable joining. At 80 guests, there’s nowhere to hide. Everyone can see everyone. If the energy dips, the room feels it instantly, and nobody wants to be the first one out there.

That’s the actual challenge of an intimate wedding, and it’s not solved by volume. It’s solved by reading a room in real time and knowing exactly when to change what’s happening.

The Intimate is the configuration we built for that.

This is likely your night if:

  • Your guest count is somewhere between 40 and 100
  • You’re at a Chicago venue with a defined footprint — a loft, a private dining room, a club, a garden, a boutique hotel ballroom
  • You want live music across the whole evening, not just the dance set
  • You’d rather have a tight, excellent group than a large one crowding the room
  • You care about how the ceremony sounds as much as how the reception does

It’s probably not the right fit if:
  • You’re expecting 150+ guests — look at The Classic
  • You want a large-format production with horns and strings — that’s The Showcase or The Grand
  • You only need late-night dance energy — The After Party is the leaner option

One band. The entire evening.

Ceremony Solo piano, a string duo or quartet, or a stripped vocal-and-guitar arrangement. Processional, recessional, and the songs in between — including the one you’ve been thinking about since long before you got engaged.

Cocktail Hour Live background music while the room fills and finds itself. Present, not intrusive. The kind of sound people notice twenty minutes later and ask about.

Dinner Warm, conversational arrangements. We stay under the room, not over it — guests should be able to talk across a table without raising their voices.

Dancing This is where the configuration earns it. Full rhythm section and vocals, sequenced deliberately to build a floor from a standing start and hold it.

Your Songs: The versions that live in your memory.

Send us your first dance. Your parents’ songs. The one your grandmother used to hum in the kitchen.

We rehearse them — properly rehearse them — in our Chicago studio, weeks before your date. Not sight-read on the night. If a song isn’t on the Swaylist, there’s a good chance we already know it, and if we don’t, we’ll learn it and arrange it for your configuration.

At an intimate wedding this matters more than it does anywhere else. When there are 80 people in the room, the first dance isn’t a performance you’re watching from a distance. Everyone is close enough to see your face.

The Lineup

The Intimate is anchored by our core: keys, bass, drums, and guitar, with three vocalists. It’s the same rhythm section that plays our 1,000-guest galas — the difference is the arrangement, not the caliber.

We scale the sound, not the standard. Arrangements are re-voiced for a smaller room: cleaner low end, tighter dynamics, and vocal blends that sit correctly at conversational volume. A band playing ballroom charts in a 90-person loft is one of the most common mistakes at intimate weddings, and it’s entirely avoidable.

If your venue can hold more, we can add a horn or a violin. Most couples at this size don’t need to.

Frequently Asked Questions

First of all, let me say that there are many many “good” wedding bands in Chicago. Any one of these bands have great musicians and vocalists, that have different levels of versatility, and will sound great! That being said, although they may sound great, it will not make them a “great” band for your wedding. Not to say that the band for your wedding shouldn’t sound great, because they definitely should. But, that is only one piece of the puzzle. The biggest factor that sets a great band apart, is their ability to entertain you and your guests. If the singers and musicians are not physically engaged with your party, and are simply playing good music, your guests will get bored after a bit. Trust me! However, if the band is playing great music, and everyone on stage is also engaging with the entire room, you and your guests will not be able to pull yourself from the dance floor. And this is what we specialize in.

Yes! Although, we do not invite potential clients to attend other couples weddings. WE DO schedule public band showcases where you can preview the band live.

We are a scalable band from 7-15 pieces, depending on the size of the event. Our core band consists of our rhythm section (Keys, Bass, Drums & Guitar, and 3-5 vocalists. From there we add 1-4 horns and 1-3 violins.

We have some great options for Ceremony music. Whether you would like a solo piano, or a string quartet, we provide you with guidance in selecting all of the music that fits you for your wedding.

Every event is different, but if you were to ask what a timeline looks like for most weddings, it would be as follows.

  • 1 hour of ceremony music
  • 1 hour of cocktail music
  • 1 hour of dinner music (either East Coast or West Coast style)
  • 3 hours of dancing after dinner

Once you decide Sway Chicago is your entertainment of choice, we will send you a simple 1 page contract based off the initial proposal that we agreed upon. If the contract is agreeable, then typically, a downpayment of 50% is required at the time of a contract signing.

We do have limited liability insurance. If a venue needs to be named on the policy for a specific event, our insurance company will issue a COI of our policy, including who needs to be named on the certificate.
